Offboarding is the process that leads to the formal separation between an employee and a company through resignation, termination, or retirement.

Employee onboarding is the process of officially integrating a new employee into a company. It involves acquainting the new employee with the company’s culture and policies as well as the employee’s responsibilities in their new position. Gryphon HR streamlines the onboarding process by replacing handwritten forms with online documents, including Employment Eligibility Verification (E-Verify), and paperless I-9’s. Onboarding software helps your organization mitigate data entry, by completing the entire process online from start to finish. Onboarding software can provide new hires with tasks and checklist to complete their paperwork thoroughly and correctly.

Non-Citizen National of the United States

A non-citizen U.S. national has legal status in the United States, but may not vote in federal elections or hold any federal elected office. They have the same rights to live in the United States as citizens do, and this right is irrevocable, unlike a Green Card holder (LPR status). A U.S. national also has the right to a U.S. passport (the annotations page will show that the holder is a U.S. national and not a citizen.) U.S. nationals are also entitled to the consular protection of the U.S when abroad, and the right to apply for citizenship by naturalization after just three months of residency.

United States Citizen

Citizenship is a legal status in a political institution such as a city or a state. United States citizenship can be defined as a status that entails specific rights, duties, and benefits. U.S. citizens owe their allegiance to the United States and are entitled to its protection.

Lawful Permanent Resident

An individual who is not a U.S. citizen and who resides in the United States under legally recognized and lawfully recorded permanent residence as an immigrant. This term includes conditional residents.

Alien Authorized to Work

An individual who is not a citizen or national of the United States, or a lawful permanent resident, but is authorized to work in the United States.

Temporary Protected Status (TPS)

(TPS) is a temporary immigration status provided to protect certain countries’ nationals in situations where departure to their home country makes their departure or deportation untenable. TPS beneficiaries can apply for and regularly renew their status.

Work Until Date

If employees indicate in Section 1 “that they are an ‘alien authorized to work until’ and enter in an expiration date, the employer needs to track the related work authorization documents’ expiration date. GryphonHR software can send custom alerts before the expiration date to ensure human resources have ample time to either end, or extend an employee’s work authorization and obtain the necessary documents to be re-verified.

EAD Category Code

The EAD category code, found on the face of the EAD, refers to the section of 8 CFR 274a.12 that is the basis for issuing the EAD. For example, the alien classification code “A03” refers to 8 CFR 274a.12(a)(3), which addresses refugees. The EAD Category Code Definition provides information regarding what categories of aliens or classes of admission (COA) fall under the particular EAD category code.

A visa is an endorsement placed within a passport that grants the holder official permission to enter, leave or stay in a country for a specified period. The most common types of visas are for work, tourism, student, and transit visas. The most common visa types are tourist, student, work, and transit visas. Most visas require an application to be filed before entering a country.

E-Verify is an Internet-based system that compares information entered by an employer from an employee’s Form I-9, Employment Eligibility Verification, to records available to the U.S. Department of Homeland Security and the Social Security Administration to confirm employment eligibility.

Form I9

Form I-9, or Employment Eligibility Verification, legally confirms a person’s eligibility to work in the United States. Some states mandate that this form be completed before any employee is hired. The Gryphon HR onboarding software allows HR the ability to safely and compliantly complete, remediate, and digitally store form I-9’s.
